1. Craft site and time: Ha Ha Ha Ho Ho Ho Productions (hereafter referred to as "ONCE UPON A CRAFT FAIR”) reserves the right to make changes in the festivals/craft fair hours; however, any such changes will be made known as far in advance of the festival/craft fair as possible and contracting individual/company/organization (hereafter referred to as “Vendor”) will be notified accordingly.

2. Available services: Once Upon a Craft Fair provides only rented space, access to an outlet, piping, and draping. Vendors must supply all materials needed. Including extension cords and float.

3. Tax collection: Once Upon a Craft Fair assumes no responsibility for the collection of GST/PST as required by law. Such collection is the responsibility and duty of each vendor at the time of sale.

4a. Liability: Once Upon a Craft Fair shall not be liable for damage or loss to any vendor’s property through theft, fire, accident, or any other cause, whether the result of negligence or otherwise. The vendor shall indemnify Once Upon a Craft Fair against and hold it harmless from any complaints, suits or liabilities resulting from negligence of the vendor in connection with the vendor’s use of display space.This is a checkbox.

4b. Once Upon a Craft Fair assumes no liability for any injury that may occur to visitors to the festive and fair, vendor’s agents and employees, or others. Vendors agree not to make claims against the Once Upon a Craft Fair, its employees, volunteers, or agents, except for breach of Once Upon a Craft Fair of this contract. Vendors must carry liability insurance for their product and or business.

5. Interpretation and enforcement: These regulations become part of the contract between Once Upon a Craft Fair and the vendor. Once Upon a Craft Fair has full power of interpretation and enforcement of these rules and may amend them at any time.

6. Set-up and check in: Set-up is between 10:00am-2pm on Friday. Any vendor not checked in by 12:30pm by Friday afternoon will forfeit their rental fee and their space becomes open to rental.

7. Parking: Park your vehicle in the designated areas indicated in the vendor information email, you will be towed or you will not be allowed to vendor at the event if you are parked in the venue parking lot or the street in front of the venue.

8. Dismantling: No exhibit may be dismantled or removed from the premises before 4pm on the last day of the event. All exhibits must be removed, and the spaces left clean by 6pm on the last day of the event. The vendor shall comply with any reasonable request with respect to disassembly of their exhibit.

9. Rental Space: Once Upon a Craft Fair reserves the sole and absolute right to determine the festival/fair eligibility of any vendor’s product. Participation/acceptance is based on an early return of this contract and the approval of the Festival/Fair committee, based on quality and variety of vendors.

10. Registered Applicants: Only registered applicants paid in full may participate in Once Upon a Craft Fair.

11. Withdrawal or Cancellation: Withdrawal or cancellation by Applicant prior to 1 August 2026 will be subject to a $100.00 service charge; the remainder to be refunded. After 1 August 2026, withdrawal will result in forfeiture of the entire amount paid to Once Upon a Craft Fair.

12. Damage to Facilities: The Registered Exhibitor(s) will reimburse the City of Nanaimo any damage done to its property by the Registered Vendor(s) or by any employees or agents thereof.

13. Fire and other Regulations: The vendor shall comply with all fire bylaws, electrical codes and all other rules, regulations, codes, or statutes with respect to installation, conduct and disassembly of one’s exhibit. No smoking or alcohol is allowed in the building.

14. Restrictions: Once Upon a Craft Fair reserves the right to restrict exhibits which, because of noise, method operation, or any other reason, become objectionable or otherwise detract from or are out of keeping with the character of the festival/fair. It may prohibit installation or request removal or discontinuance of any exhibit or promotion if Once Upon a Craft Fair so chooses.

In the event of any such restriction or eviction, Once Upon a Craft Fair is not liable for any refund or rental or other expenses.

Nothing may be stuck to the walls or floors. If you do stick anything to any surface without written approval you may be asked to leave the event and cover any damages occurred.
